When you submit a sourcing request through our form, we collect:

Your name, phone/WhatsApp number, and email address
The product category, quantity, target budget, and company name (if provided)
A description of what you're looking to source, and any reference link you include
An optional photo you choose to upload, for reference purposes
Additional notes you provide
Technical information such as the page you submitted from and the time of submission

If you contact us via WhatsApp or email directly, we also receive whatever information you choose to share in that conversation.

How we use it

We use the information you provide to:

Identify and source the product or part you've requested
Prepare and send you a quote or follow-up communication
Contact you by phone, email, or WhatsApp regarding your request
Improve our sourcing service and website based on general usage patterns

Where your information is stored

Form submissions are stored in a Google Sheet accessible only to our team. Uploaded photos are stored in a private Google Drive folder. Both are hosted on Google's infrastructure and subject to Google's own security practices. We do not store payment information, as no payment is collected through this site.

Analytics and advertising

We use Google Analytics (GA4) to understand how visitors use this site, and the Meta Pixel to measure the effectiveness of our advertising on Facebook and Instagram. These tools may use cookies or similar technologies and can share limited data with Google and Meta in accordance with their own privacy policies. You can control cookie preferences through your browser settings, and opt out of personalized advertising through your Google and Meta account settings.

Sharing your information

We do not sell or rent your personal information. How long we keep it

We retain sourcing request records for as long as reasonably necessary to fulfil your request and maintain business records, or until you ask us to delete it.

Your choices

You can ask us to access, correct, or delete the information we hold about you at any time by emailing info@botanve.co. We'll respond as promptly as we can.
